Tips to Organize a Safe Event without Doing Much

As an event planner, you have to make sure that every attendee feels safe in a given environment. Security issues can come in many forms such as fire eruption, stampede or terrorist attack. All of these forms of security issues must be dealt with careful planning.

If you are an event planner, you need to ensure that every step is taken to deal with emergencies and security issues. Here are some of the things you need to know as an event planner to hold a safe and secure event.

Risk Assessment

As an event planner, you have to go through risk analysis in order to avoid any kind of accidents or security issues. Firstly, you should find out what the event is all about and how many celebrities are going to attend. There might be a huge mess up if any TV star is present, as many of the fans would like to have selfies and get autograph. If any fan creates a mess, how would you deal with it? Would you like to call a security person or directly call the police? Make sure to devise a strategy to encounter such situations.

Moreover, in case of a large number of attendees, you might face difficulty in evacuating each individual, especially in the case when the fire erupts. Have a look at your venue and find emergency exits. If there were not enough emergency exits, what would be your plan?

Arrange for Emergency Equipment

Events are full of people and anything can happen from fire eruption to terrorist attack. Make sure to check the equipment such as fire extinguisher to meet such situations. In case of any person carrying a weapon and threatening the people, you must have a personnel who knows how to deal with them and use a weapon in worst cases. No matter, how big or small event might be, you have to arrange for emergency equipment and resources to meet every type of situation.

Include Security Representatives

While you are planning your event, make sure to include a security representative. By including them, you can make them aware of your schedule, personnel involved and logistics. In case you update the security plan, make sure to inform them of all the details and ask for a better plan if possible.

In case, if a special guest for example TV artist is coming to your event, you have to make sure how much time will they spend, what will be their entry and exit points and how to deal with fans to avoid creating a mess around the celebrity.

Clear Instructions for all Staff

Lastly, don’t forget to include every staff member in the plan. Everyone must be handed out with a clear set of instructions to deal with any emergency. For example, some of the staff members would direct attendees to the exit ways while others will ensure that there is not any kind of stampede or blockage. Some of them will be responsible for dealing with the injured attendees. No matter, who handles what, you have to ensure a proper safety plan to conduct the event without any hazard.
